PIFS Currently Seeks a Director of Advancement

The Director of Advancement reports to the Head of School and is a member of the administrative team. The Director advances the mission of Putnam Indian Field School by supporting enrollment and marketing objectives and serves other administrative functions. Responsibilities of the position include:

Enrollment Management

  • Receives inquiries related to admission and responds to requests from prospective families
  • Schedules and conducts admission tours 
  • Manages all related communication and follow up
  • Utilizes and maintains administrative software and/or database to track admission inquiries, applicants, offers, acceptances and non-acceptances
  • Participates in admission and placement decisions, exercising independent judgment in making recommendations to the Head of School
  • Prepares and sends out admission letters and enrollment contracts and keeps track of responses (prospective and reenrollment)
  • Prepares and sends out summer Welcome Packet to new families as well as other pertinent forms to returning families
  • Maintains applicant files from time of submittal through enrollment
  • Prepares reports regarding admission and enrollment for Head of School, Administration and Board of Trustees
  • Keeps competitive analysis up to date, to be used to inform admission materials and conversations with prospective families

Financial Aid

  • Manages the administration of the scholarship process, including working with community organizations to find applicants and support them through the application process
  • Interfaces with the independent scholarship managing system to obtain financial aid qualification guidance
  • Provides supporting documents to Head of School and Scholarship Committee of the Board to come to a decision on how many and size of scholarships to award each year


  • Works with the Head of School, Communications Manager, and outside Communications Director to develop admission materials 
  • Ensures admission materials showcase mission, brand, and curriculum
  • Works with Head of School to determines annual advertising & PR strategy
  • Purchases and places advertising
  • Posts relevant admission information, applications, and announcements on school’s website
  • Identifies external organizations/contacts to build referral sources
  • Collaborates with others to create, support and communicate new events related to admission
  • Organizes and hosts fall Open House and other admission/marketing occasions
  • Produces content for social media accounts; monitors online presence, ensuring consistency with mission and brand; responds to preschool inquiries posted on third party Social Media sites, including Facebook


  • Provides new parent contact information to PAC for spring picnic and new parent cocktail party
  • Attends school community events and meetings
  • Helps with office clerical work when necessary
  • Assists with answering the telephone and door
  • Fills in as a substitute teacher when necessary in extra hours, play yard coverage or classroom
  • Other duties as directed by the Head of School

  • Strong communication skills, including the ability to interact confidently and effectively with school staff, parents, donors, trustees, school administration and alumni
  • Capacity to conceptualize and execute strategic plans
  • Ability to exercise discretion and independent judgment
  • Self-motivated and able to set own priorities; will not be under constant supervision
  • Working knowledge and proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) and the Internet; willingness to learn and support new databases and web tools
  • Experience in a school setting preferred

Commitment of Position

  • 12-month, exempt position
  • Full-time, 40 hours/week
  • Attendance at select parent/school functions is expected including certain scheduled evening events
